Purpose of the Job

As the Project Assistant of the Project Management team and to the global project team, you will ensure a range of communications

with Project Management and external stakeholders. You will be involved in facilitating positive working
relationships in the delivery of important administrative tasks and services.
A good knowledge of railway environment and project organization will help you to successfully fulfil
your responsibilities.

Responsibilities

Works autonomously in coordinating, managing and prioritizing the day-to-day Administrative activities for the
Project Director and the project team such as:

  • Complex travel arrangements and itineraries for project management team members and visiting

VIP guests and groups.

  • Letter of Invitation for incoming staff (if any)
  • Receiving & archiving incoming post mails
  • Formatting & printing outgoing mails
  • Managing office allocations / project directory / project organization chart updates
  • Book meeting rooms
  • Check and validate incoming invoices related to office purchase
  • Purchase Requests for office stationaries
  • serve as the primary point of contact for the Project Director and his core team members, take action as

appropriate, summarize, prepare background documents and responses as necessary.

  • draft and/or prepare a full range of materials such as emails, memorandums, reports, presentations
  • support preparation of presentations on request from Project Director and support project event

preparation

Educational Requirements

Baccalaureate degree is the minimum required.

Desired Knowledge / Experience

Knowledgeable in all standard office tools (Excel, word, mpp, ppt, outlook, ….)

English is mandatory. French is desireable.
