Occupancy Planning Project Manager
Job Summary:
The Space Planning Project Manager oversees and provides tactical occupancy planning expertise in support of supply, capacity, and demand of the client’s portfolio of space. In addition, the role is responsible for day-to-day interactions with the client team and will assist on solving space and move requests, support campus planning and project activities and ensure data governance.
Responsibilities:
There are several roles within this scope of work for the Occupancy Planner Project Manager
- Partner with Client Facilities Manager on:
o Scenario planning for space allocations
o Space modifications identification
o Presentations (programming, moves, etc.)
o Monitoring day-to-day space utilization
o Block planning
o Seat planning
Occupancy Planning / Move, Adds & Changes:
o Support creation of customers organizational structure documentation inclusive of FTE, Consultants, Interns, and Rotational staff
o Input all group moves (greater than 10 people) and equipment moves into the database
o Coordinate day-to-day move requests and capture adjacencies (i.e., transfers, new hires, etc.)
o Monitor all facility space requests and communicate occupancy strategy as provided by Client Facilities
o Partner with the Spatial Data Manager on space negotiations and resolutions between groups
o Conduct monthly walk-throughs to ensure information pertaining to validated department / neighborhood locations, individuals and configuration of spaces are accurate and update in Serraview (& Serraview Live) system
o Develop and submit space and customer management checklist and related plans for all relocations as required based on complexity
- Projects:
o Create project proposals to meet specific space needs (small and large), and collaborate effectively to negotiate space needs, timelines, budgets, etc.
o Develop comprehensive project plans with tasks, milestones, timelines, and metrics.
o Oversee all aspects of projects to ensure timelines are met, including directing the work of others, assigning responsibilities, and monitoring and summarizing the progress of the projects. This includes MAC, building decommission, and space renovation projects.
o When required, meet with designated business unit representatives to ensure that needs of impacted groups are fully understood.
o Coordinate with in-house move vendor, network, telecom, IT, security, janitorial, change management, and other teams as needed to complete projects.
o Ensure coordinated and effective installation, testing, and operation of furniture, telephones, computers, printers, and miscellaneous equipment
o in project execution, serve as a primary liaison with business unit to ensure project schedules are understood, communicated, and aligned with critical needs. Report any scheduling or implementation issues to client facilities and resolve conflicts promptly and professionally.
o Be present during moves (as needed based on scope) to ensure smooth, responsive, and successful move execution.
o Provide all assistance including physical space orientations to ensure a smooth transition to the occupying business units for safe use of facilities.
o Maintain all required project files, schedules, budgets up to date and available for review by client facilities management.
o Support the planned projects and ad-hoc projects throughout the year as needed.
o Participate in pre- and post-move walk-throughs to ensure space is per approved scope of work and communicate scope, timing and / or scope changes to customer
o Follow up with space/occupancy planners and Spatial Data Manager to provide required information regarding the outcomes of each move, add or change to systems as needed.
Data Governance:
o Manage allocation planning information into Serraview (& Serraview Live) and ensure data is kept up to date on a weekly basis
o Review and approve or makes alternate recommendation for reconfiguration requests.
o Ensure any room changes are documented and submitted to the Spatial Data Manager
o Ensure strategic and master plan objectives that may impact project design, location, timing, and infrastructure systems are considered in all project/design solutions
o Analyze Utilization information (badge scans and sensor data – Serraview & Serraview Live) and assist with development of reports for Client Facilities
o Timely provision of reports as needed to support effective utilization of Client’s space
o Provide scenario plans that align with Client Facilities master plan
o Provide space analysis
o other tasks assigned as needed
Day to day:
Supporting the manager with fitting people into different departments and changing plan layouts, knowing where people sit, noting areas that are vacated.
Prior experience: Minimum of 5 years of Office space/occupancy planners and or Spatial Data work experience.
Job Type: Full-time
Pay: $44.00 – $45.00 per hour
