The Information Technology Department provides computer hardware and software maintenance, software development, network design, network implementation, and overall support to the faculty, staff, and students. The IT Administrative Assistant provides administrative support and answers the main telephone number for the campus community.

The hours for these two part-time positions are, Monday – Wednesday; 8:00 – 5:00 pm, and Thursday – Friday; 8:00 – 5:00

Description of Job

This position provides general administrative support for the Information Technology Department to include performing receptionist duties for the Vice President for Information Technology, scheduling meetings and rooms, making travel arrangements and submitting related forms pre- and post-travel; creating general office correspondence using Word, ordering and organizing supplies, documenting written procedures for the position, maintaining electronic office files including scanning/archiving documents, and providing basic maintenance for office equipment.

  • Allocates One Card expenditures monthly, drafts correspondence in email and memo form and proofreads reports and documents and creates PowerPoint slides for presentations.
  • Tracks general department expenditures, prepare direct requests, and purchase requests using Excel, Word, Adobe, Banner Finance, and e-procurement software, and route invoices and purchase requests to appropriate offices for processing.
  • Manages annual purchase requests for telecommunications service vendors; processes monthly invoices and telecommunications and internet service bills; tracks and reports discrepancies to supervisor and/or vendors; and maintains Excel spreadsheets to track monthly expenditures for future budget planning.
  • Assists the Vice President for Information Technology and Information Technology department directors with preparing with annual department budgets, including gathering information in preparation for the annual budget planning process; using Excel and the Banner system to track budget allocations, expenditures, scheduled payments and account balances; and maintaining records and template files for the next budget cycle.
  • Answers and addresses incoming calls through the main campus number, providing information and/or routing to appropriate individuals or departments on campus. This position updates campus telephone and office listings.
  • Processes employee electronic check-outs for the Information Technology Department following departmental procedures and University policies.
  • Other duties as assigned

Minimum Qualifications: Minimum of two years of general clerical experience. Part-time work will be prorated.

Preferred Requirements: Experience involving a wide range of clerical responsibilities. Experience answering a multi-line phone system. Proficient with all Microsoft Office Suite applications to include, Word, Excel, and Outlook. system. Experience dealing with/handling unplanned interruptions and projects. Skilled in being thorough and detailed. Ability to communicate effectively with others to convey pertinent information in a timely manner. Excellent organizational skills due to multiple assignments and fluctuation priorities.

This position requires sitting, standing, walking, reaching, handling, fingering, feeling, talking and hearing. Must be able to exert in access of 10 pounds of force occasionally
