The Office of Injured Employee Counsel (OIEC) is the state agency that helps injured employees with their Texas workers’ compensation claims. The agency assists, educates, and advocates on their . OIEC provides services in 21 offices across the state. Agency services include advocacy, customer service, and dispute assistance through OIEC’s Ombudsman Program.

Field Ops Administrative Assistant (Admin Asst IV) – Dallas

The Administrative Assistant performs highly complex (senior level) administrative support work. Work involves disseminating information, maintaining filing systems, and performing internal administrative support work. provide guidance to others. Is responsible for planning, developing, and implementing OIEC programs; coordinating and monitoring various projects pertinent to the operations management programs; and updating OIEC executive management on program management. Work requires frequent contact with internal and external customers. Coordinates and completes special projects. Observes all applicable agency policies and procedures, including adhering to established leave and attendance policies, safety rules and regulations, and use of state property. We are looking for someone who is a stellar, self-starter who knows how to prioritize and organize work and see projects through to completion. Must be positive, detail oriented, impartial and maintain confidentiality. Works under limited supervision, with moderate latitude for the use of initiative and independent judgment. Great benefits.

This position:

  • provides program management support for the OIEC Field Operations Director;
  • provides technical support and guidance on administrative matters to agency management and other staff;
  • prepares written communications regarding agency objectives and decisions;
  • prepares, reviews, and disseminates field operations reports, manuals, and other notifications for OIEC staff;
  • assists in maintaining Field Operations Director’s calendar, schedules training sessions and management meetings, and takes minutes for meetings when required;
  • assists with organizing and presenting information based on department reports and provides assistance on the leave accounting system;
  • assists with travel coordination and documentation; and
  • assists with reviewing of applications, interviews, employment verification, and requests for open records in the hiring process and onboarding;
  • performs other duties, as assigned.

The successful candidate must be able to work in the office to perform job duties, attend meetings, and training, etc.

This position will have some weekly telecommuting capabilities.

Qualifications


This position requires:

  • graduation from high school or equivalent; and
  • two years full-time experience in an office setting performing administrative work.
Additionally, preferences for this job are:

  • four years administrative assistance experience;
  • college education;
  • workers’ compensation experience;
  • bilingual in English and Spanish language skills (oral and written); and
  • experience working for the Office of Injured Employee Counsel.
This position requires demonstrated knowledge of:

  • Microsoft Word, Outlook, and Excel; and
  • administrative, office practices.

This position requires demonstrated skill in:

  • attention to detail;
  • handling and solving problems;
  • records maintenance principles and practices;
  • correct grammar, punctuation, and spelling; and
  • Microsoft Office software applications, including Word, Outlook, and Excel to complete tasks such as editing, entering, and extracting data and Visio.
