The Director, Finance & Administration is primarily responsible for the documentation of the commercial lease/loan activities and for managing finance functions of the business in support of Headquarters.

What will you do?

Administer commercial equipment lease and loan documentation, assist with the closing and funding of transactions working closely with sales representatives, customers, and vendors. Support operations teams in the ongoing portfolio management (invoicing, customer service queries) seeking constant improvement of processes and procedures.

As a key contributor to the business strategy, support the Finance team in managing the profitability of the business ensuring compliance with policies and procedures while enhancing and strengthening internal and external financial controls. Facilitate the accurate and timely preparation of reporting forecasts, planning, performance tracking and support general accounting functions.

Administration Responsibilities:

  • Support Siemens Financial Services Commercial Finance Americas Administration & Operations teams in Canada
  • Expedite the preparation of documentation packages for lease and loan transactions. Perform a complete and thorough analysis, verification, and audit of all documentation; ensuring that the documentation files are complete and have been prepared in accordance with approval(s)
  • Practice lean management, support with business and product innovation, embracing digitalization and software supported workflow management
  • Support the booking and funding stages including an understanding of PPSA lien perfection; preparation and filing of PPSA Financing Statements. Secure non-interest letters or subordination agreements, review insurance certificates; and understanding organizational documents and signature requirements
  • Organize, and accurately maintain vendor invoices and payments to vendors, including progress payments, to ensure timely and accurate payment within the parameters of the approval
  • Ensuring KYC Onboarding and Documentation procedures are adhered to
  • Complete the documentation process by reviewing documentation, structure, pricing, and payment procedures prior to delivery of the document package to the funding team
  • Interface with other departments that provide various information regarding lease and loan transactions (sales, credit, asset management, operations, booking, funding, compliance)
  • Possess thorough knowledge and understanding of term loan documentation, lease documentation, guaranties, riders, promissory notes, and other standard transaction documents.
  • Familiarity with equipment finance products and terminology such as TRAC Leases, Finance Leases, FMV Leases, Lease and Discounting from accounting and tax treatment perspective
  • Possess knowledge of lease accounting system for data entry, audit, invoicing and booking
  • Maintain effective process to insure that “follow-up” items are received promptly and timely

Finance Responsibilities:

  • Support Siemens Financial Services Commercial Finance Americas Finance team in Canada.
  • Administration of Service Level Agreements with affiliates
  • Responsible for management reporting measuring the performance of the business including profitability, pricing, volume, funding, and expense control
  • Support the management performance of the Canadian portfolio and ensure compliance with risk management policies and guidelines
  • Responsible for assisting with the production of strategic plans, including, annual and rolling forecasts, expenses, volume forecasts, and funding plans
  • Support general accounting functions and aid in maintaining appropriate controls
  • Identify opportunities and implement recommendations for improving financial and operational controls and procedures
  • Participate in the relationship with federal and provincial tax authorities (filings and payments), ensuring compliance with local statutory, tax and government regulatory requirements
  • Support cash applications, account reconciliations and suspense account management
  • Assist in negotiating and structuring large and/or complex finance transactions for customers and participate in the development of product pricing and services

What will you need to succeed?

  • Degree in Accounting or Finance preferred
  • Master’s degree, MBA and/or CPA designation desired
  • Minimum 7 to 10 years progressive financial management experience in a finance company of comparable size and complexity as Siemens Financial Services Commercial Finance Canada
  • Experience with MS Excel, Tableau, Hyperion, SuperTrump and a Lease Accounting system
  • Demonstrated expertise in establishing and maintaining appropriate accounting and financial controls in financial services organization for capital equipment
  • Experience with PPSA regulations and procedures (including Quebec)
  • A wide range of administration financial, accounting and Tax (Federal & Provincial) knowledge.
  • Financial services experience, particularly leasing, credit underwriting, and portfolio management, as well as extensive general business knowledge including finance, accounting, marketing, sales, and operations
  • Working experience in the international environment is an advantage
  • Ability to work independent and confidently interacting with customers and internal stakeholders.
  • Strong financial management skills including reporting, financial modeling, and planning
  • Effective negotiation and presentation skills with demonstrated expertise in evaluating and recommending business strategies
  • Strong interpersonal and team player skills, including the ability to interact and influence at all levels, both internally and externally
  • Drive for results and ability to work effectively and agile in a cross-functional way
  • Strong people development, leadership, and performance management skills, including the capacity to build a high-performance culture
  • Innovative problem-solving abilities, strong analytical and quantitative abilities, and effective decision-making skills. Knowledge and experience on business intelligence tools is an asset.
  • Bilingual in French is an advantage
