Job overview

This role is ideal for someone looking to develop or begin their career in Information Governance. You will have a variety of work tasks including managing responses to internal and external IG queries, managing and coordinating responses to Freedom of Information Act requests, carrying out administrative tasks to support delivery of the information governance agenda, including processing of incidents, providing administrative support for the Data Security and Protection Toolkit and arranging and supporting internal meetings.

Main duties of the job

Ideally the successful candidate will have worked in a similar role previously, have excellent organisational skills and able to work independently and take responsibility for their own workload. They will have great attention to detail and a knowledge and interest in Data Protection legislation.

On a day to day basis you will be responsible for administration support with a focus on several key areas including:

  • Provision of first line of contact to enquirers signposting to relevant Information Governance advice and support in accordance with Information Governance policies, operating procedures and best practice across NUH.
  • Administration and project support to the IG Team.
  • Uploading of documents to Intranet site/content management
  • Helpdesk call resolution/investigation for IG enquiries
  • Management administration support to the Data Protection Officer and Head of Information Governance.
  • Receipt and processing of Freedom of Information Act enquiries
  • Processing of IG incidents and communicating with staff throughout the Trust to ensure appropriate resolution.
  • Direct project support to improvement and transformation projects as required.
  • Diary management and management of multiple diaries
  • Organisation of meetings, production of Agendas and Minutes and distribution of papers
  • Operational document and records management activities within standard operating procedures.

Nottingham University Hospitals’ Digital Services provides services to both City Hospital Campus, Queen’s Medical Centre Campus, The Ropewalk and some community services. It comprises a multi-disciplinary team of professional staff concerned with providing a wide range of services in
information, knowledge management, computing and telecommunications.

The post holder when working on site will be based at the City Hospital Campus, but will be required to work and travel across both campuses. There is also a requirement for home working to suit the needs of the service.

  • Educated to Diploma or equivalent level of experience
  • Evidence of ongoing professional training and development

Desirable criteria

  • Information Governance qualification or equivalent experience

Experience

Essential criteria

  • Experience and/or understanding of confidentiality issues in a healthcare setting
  • Experience of working in a busy department within the NHS.
  • Experience of handling patient/public queries.

Desirable criteria

  • Experience of working in an Information Governance department
  • Knowledge of NHS and statutory polices and regulations including GDPR, FOIA, Data Protection Bill, Caldicott Principals
  • Knowledge and understanding of the importance of confidentiality, Information Governance and security policies

Salary: The quoted salary will be on a pro rata basis for part time workers.

  • Transfer of information: If I have previous NHS service – I consent to the transfer of my Electronic Staff Record (ESR) data between this and other NHS Trusts. I also consent to the Occupational Health Department confidentially accessing my occupational health records from my current or previous employer in order to check the status of my vaccinations, immunisations s and screening tests as relevant to the post. I understand this is an automated process and the information will only be used for these purposes prior to me taking up the position at NUH.
  • Disclosure and Barring Service: Your post be subject to a DBS check which incur a cost dependent on the level of check required (£41.90 for enhanced and £21.90 for standard). I agree to reimburse Nottingham University Hospitals NHS Trust the cost of a Disclosure and Barring Service (DBS) check if it is required (by deduction from first month’s pay).
