Job Title: Finance Controller

Accountable To: Chief Executive

Job Description: The Finance Controller will be responsible for all aspects of the company’s financial and HR management as well as the order and billing systems. The role will also manage the office(s) with regards to maintenance service contracts, administration and procurement.

Role Overview

Our client seeks a Financial Controller to join their team. Reporting to the Chief Executive, you will contribute to delivering all responsibilities as described below. Also, as a Finance Controller you will be responsible for ensuring other teams and managers are fully aware of all HR and financial systems and they operate in accordance with these processes.

The role is based in Northwest London, and we offer flexible/hybrid working arrangements.

Location: UK Head Office based with periods of time visiting customer offices.

Responsibilities: Primary responsibilities are listed below.

Financial Management

  • Monthly management accounts including narrative report on budget & forecast variances.
  • Weekly Project cost reporting including narrative report on budget & forecast variances.
  • Weekly cash flow information to assist the Company plan payments.
  • Monthly invoice review and associated billing administration.
  • Insurances, including assets, professional indemnity, travel and events.
  • Authorities Document and ensuring all staff adhere to it.
  • Systems and procedures to ensure integrity of accounting information and safe custody of assets, including procedures to eliminate and detect fraud or theft of company assets.
  • Day to day management of department staff including annual appraisal and recruitment as necessary.
  • Annually, preparation of detailed financial budgets and cash flows.
  • Ensuring the appropriate expenditure records is maintained.
  • Pension, healthcare and staff welfare schemes.
  • Grant claims submissions.

Accounting Records/procedures

  • Sales ledger, purchase ledger and nominal ledger and maintenance thereof.
  • Asset register.
  • Expenditure authorisation procedures including expenses reimbursement.
  • Monthly bank reconciliations and checking control accounts match including sales ledger, purchase ledger, VAT account and PAYE/NI.
  • Company debt and credit control
  • Payroll and payroll annual returns.
  • Quarterly VAT returns.
  • Annual accounts file for auditors and drafting of statutory accounts.
  • Assist the Directors with effective communication/reporting of the company’s financial performance.
  • Completing annual returns and company secretarial filing.

Legal Compliance and responsibilities

  • Ensuring compliance with legal requirements, other obligations and identified best practice.
  • Ensure the financial elements of the company’s order, incident and billing management systems are correctly set up and maintained and suitable outputs are achieved.
  • Health and Safety management.

General

  • Quality Control – ensure the Company’s operations and functions are undertaken in accordance with the approved QA procedures or Company standards and any improvements are identified.
  • Departmental Support – support as necessary the finance, sales, service and operations functions as necessary to maximise the Company success and achieve set targets and objectives.
  • Communication – maintain excellent communications with all employees, clients and customers as required by the specific requirements of your role and to proactively ensure consistent and productive co-operation and dialogue between all Company personnel regardless of department to endeavour to ensure ongoing success for the Company as a whole.
  • Undertake any reasonable request to assist the Company meet internal and external expectations
  • Oversees internal control – all company accounts and investments.
  • Oversees the Finance Department and other senior executives, including Finance Director or sometimes CFO, Finance Manager, and other executives as well as all the officers.

The successful candidate who joins this retail firm as a financial controller will:

  • Be newly qualified, or in the latter stages of qualifying, ACA/ACCA/CIMA.
  • Team management experience.
  • Ability to operate in a fast-moving environment.
  • Have exposure to managing key stakeholder relationships.
  • Show strong communication skills and an ability to build relationships.
  • Previous experience within the telecommunications industry would be beneficial, but not essential.
  • Experience in a production merchandising role in a fast- paced entrepreneurial retail environment.
  • Familiarity with managing product life cycles and understanding of production for private label ranges.
  • A collaborative team player with excellent listening, communication and people skills.

Personal skills

  • Flexible approach to working within the team, managing evolving responsibilities. Open minded and willing to learn. Mature and able to apply critical thinking to problem solve.
  • Proficient in Microsoft Excel. Able to work with cost, retail margin formulas to manage and maintain accurate records.
  • Relationship building – develop strong working relationships with all members of the team in London, Internationally and our suppliers.
  • Communication skills – contribute to the excellent communication needed with our suppliers and between the London and International teams with the goal of achieving a ‘one team’ approach.
  • Working in a non-enterprise business.
  • Self-motivated – comfortable and able to work independently as well as part of a team.
