Overview:The Project Coordinator is responsible for project management, project escalation, and tracking quotes/paperwork of special projects for customers. The associate is responsible for maintaining excellence in relationships with customers, vendors, partners, and other departments; maintain standards and conduct that reflect One Source values and set an example for others to follow
Responsibilities:
- Handle team escalations and facilitate prompt resolution for issues and concerns. Use every opportunity to strengthen relationship with departments and clients.
- Assist and/or lead in training process for team members.
- Assist with creating and maintaining Standard Operating Procedures.
- Participate and/or lead customer meetings for project scoping, updates, and/or presentation.
- Partner with all One Source departments to ensure that the Business Analysis department meets the needs of customers.
- Partner with Client On-Boarding to assist with transitioning customers through On-Boarding activities. This includes but is not limited to kicking off solutions, optimizations, and generating IT/MSS quotes.
- Cultivate relationships with vendors and service providers for Telecom, IT, and Security services.
- Serve as a subject matter expert on Telecom and IT services maintaining up to date industry knowledge and pricing.
- Continue to establish an in-depth understanding of external carrier quoting/ordering systems and processes, including acceptable time frames for specific product types.
- Manage projects including but not limited to analyzing services, assigning work to Solution Analysts, and monitoring progress.
- Coordinate project activities with Solutions Team Lead(s) to ensure project timelines are met.
- Maintain up to date project records and conduct weekly meetings with director to provide updates on projects.
- Engage customers and provide project updates at regularly scheduled intervals.
- Review customer services and invoices as needed through established processes for potential savings and benefits analysis.
- Maintain timeliness of work by acknowledging assignments within standard interval guidelines.
- Provide explanation and clarification of the team’s solutions to internal teams and customer.
- Review quotes and comparative solutions created by department staff for accuracy and suggest additional options/ corrections be completed in a timely manner if needed. Ensure all possible and suitable solution scenarios available have been explored to determine 2 most beneficial options are presented.
- Assist and/or lead in presenting IT and Telecom solutions to customers.
- Follow up with all requests using standard operating procedures outlined by Business Analysis processes.
- Assist with generating service provider paperwork necessary to implement services quoted. Provide paperwork via designated processes.
- Must be able to travel for an extended period of time and work flexible hours with the understanding that workdays can be in excess of normal hours and some weekend work may be required.
- Data and system use must comply with One Source information security policies and standards.
- Unauthorized access to data and/or systems is prohibited.
Qualifications:Required Skills/Abilities:
- The individual should have the ability to read and interpret documents such as telecommunications solutions and invoices, terms and conditions, accounting reports and contractual agreements. The individual should also have the ability to write routine reports and correspondence and the ability to speak effectively before groups of customers or employees of the organization.
- The individual should have the ability to calculate figures and amounts such as discounts, interest, commissions and proportions. The individual should also be able to apply concepts of basic algebra.
- The individual will be able to define problems, collect data, establish facts, and draw valid conclusions. The individual should also have the ability to interpret a variety of technical instructions and deal with several abstract and concrete variables.
Education and Experience:
- The individual will preferably have earned a Bachelor’s degree (B. A.) in a related field from a four-year college or university. Two to three years related experience, training and/or equivalent combination of education and experience will be considered.
- To perform this job successfully, an individual should have knowledge of Microsoft Office programs (Word, Excel, PowerPoint, and Outlook). Knowledge of accounting software, database software and/or project management software is helpful but not required.
