The Purpose of the Role

The Legal, Compliance and Governance (LCG) function is at the heart of everything Post Office does. It enables delivery of the Post Offices’ business goals and social purpose by, amongst other things, ensuring Post Office has strong negotiated contractual agreements and by working with the business to ensure effective contract management.
Post Office’s Contract Management Framework (CMF) and Contract Approval Process provide a clear and standardised management and governance structure for contracts that Post office and its subsidiaries (‘The Group’) are party to – setting out the approach, roles and responsibilities, internal controls, process, and operational standards which allow the most efficient and effective management of its contracts.
Working closely with stakeholders from across the business, the purpose of this role is to ensure the Contract Approval Process is complied with and embedded within the day to day operations of the Group.
The successful candidate will also have the opportunity to provide other administrative support to the Company Secretariat team who service each of the boards and committees within the Group – advising on corporate governance and ensuring decisions are recorded accurately, taken compliantly and delivered efficiently.

Principal Accountabilities

  • Working alongside stakeholders within the business to ensure all contracts entered into on of the Group follow the procedures and policies set out within the Contract Management Framework and Contract Approval Process.
  • Supporting individuals within the business who are responsible for overseeing contracts, such as Contract Owners and Contract Managers, and providing training on all aspects of the Framework including Contract Management, Contract Approval, Contract Execution and tracking contractual Legal Obligations – highlighting any instances of non-conformance.
  • Building relationships within the business and assisting individuals to complete Contract Approval Forms correctly, managing the relevant inbox and dealing with queries quickly and efficiently.
  • Working alongside Procurement Operations and the Legal Team to discuss any changes in procedure or process relating to the various contract approval and execution policies and processes.
  • Handling work of a highly confidential and sensitive nature.
  • Providing key administrative support the Company Secretariat team where required and for the Company Secretary to help in preparing for Committees including, but not limited to, emailing stakeholders regarding papers and actions, updating actions logs, agendas and meeting invites, checking and formatting papers, preparing paper packs on Diligent Boardbooks, emailing presenters with presentation times and creating minute skeletons.
  • Other duties as they arise, such as project work or covering for colleagues in their absence.

Qualifications, Experience & Skills

  • A minimum of 6 months experience working in a Company Secretariat function or as a legal assistant, executive or paralegal.
  • A related degree, in addition to good GCSE and A-Level grades.
  • Strong understanding of corporate governance principles and practice and company law.
  • Knowledge of Microsoft Office software including Word, Excel, Outlook and PowerPoint.
  • Excellent organisation, diary management and prioritisation skills.
  • Excellent written and oral communication skills.
  • Excellent people and stakeholder management skills.
  • Good professional, interpersonal and relationship skills, with the ability to work with different teams/ personalities and adapt to different ways of working.
