Job Summary
The Executive Assistant is a hands-on administrative role supporting multiple Executives out of our Perrysburg, OH office. The Executive Assistant will be responsible for managing the day-to-day operations of the office, planning and scheduling meetings and appointments, organizing travel for the Executive Team and Employment Candidates. The position will include managing the Executive Team’s calendars, email accounts, and coordinating/initiating web conferences and telecommunications.
This position requires the ability to build effective relationships and manage multiple projects and competing priorities in a fast paced, constantly changing environment. Thought leadership, organizational credibility, business knowledge, high level of delivery, flexibility to changing conditions, maintenance of confidential information, facilitating communication, and decisive execution are keys to being successful in this position. This position reports to the General Counsel/Chief Administrative Officer.
Key Job Responsibilities
- Support on the management and coordination of the Executive Team’s calendars and email accounts; routing correspondence when necessary
- Manage the relationship with building management, other third-party vendors, and supply and inventory management
- Manage scheduling meetings, events, and organizing travel for the Executive Team; assist with arrangement of travel for candidates
- Coordinate and manage correspondence pertaining to events such as conferences, presentations, business meetings, and virtual events
- Assist with preparation for Board of Directors and Quarterly Strategy Meetings
- Serve as a primary point of contact and a key support resource to facilitate communication between the Executive Team and the Company’s remote locations
- Other duties are assigned
Requirements:
Job Requirements
- Minimum of 3 years professional support experience required; experience in executive support or event planning experience highly preferred
- Exceptionally high energy individual with demonstrated success supporting multiple executives in a fast-paced environment
- Results-driven and demonstrates the ability to work independently and in a team environment as well as to lead and/or participate in cross-functional teams
- Excellent project management skills including successful leadership of projects from planning phase through completion
- Excellent written and verbal communication skills
- Must be highly proficient in MS Office
