What We Do:
Oversight and Business Operations (OBO) within Technology Group will drive continuous improvements to process and standards to ensure the Technology group meets its stated goals and objectives. Manages administration and provides oversight across all processes in TG (e.g., portfolio management, SDLC, change management, etc.), leveraging KPI’s and metrics to measure process effectiveness and performance.
Centrally manages all business operations including administration, logistics, and communications. Responsible for vendor performance, maintaining vendor relationships, and negotiating / securing contracts that benefit the entire enterprise. Centrally manages the procurement, reporting, and compliance of all technology assets including endpoint, cloud, enterprise & telecom. Manages the technology budget and manages line one and line two technology risk for the Bank.
Expected outcomes include maximizing the efficiency, effectiveness, and consistency of the operational support functions of the Bank to enable superior technology performance and outcomes and effective oversight and compliance to ensure TG processes run as intended.
Your role as an Executive Assistant:
The Administrators in this role coordinate and oversee office administrative tasks while providing an extensive level of administrative support to Senior Leaders of the assigned TG function as well as Directs and their Staff. This includes, but is not limited to, all general administrative work such as calendar management, event management, organizing the work unit essentials, travel arrangements and vouchers and purchase orders.
- Manage and coordinate complex schedules and calendars, identify potential conflict, and work collaboratively with internal and external counterparts to resolve
- Plan and coordinate meetings, conferences, or other special events, both onsite and offsite
- Manage conference room bookings and work with colleagues to resolve scheduling conflict
- Prepare domestic and international travel arrangements, itineraries, and expense reports
- Develop spreadsheets, tables and charts as needed for tracking and informational purposes
- Compose and proofread correspondence and support briefing materials and presentations
- Create and update organizational charts in Visio and update floor plans in PowerPoint
- Monitor and reconcile FedEx invoices
- Process and track purchase orders and manage the area’s inventory of office and pantry supplies as well as maintain area pantry
- Provide back-up support to other Administrative Assistants within the Technology Group
- Ad-hoc assignments and projects, as necessary
Job Requirements
- Must be a self-starter, with excellent attention to detail and follow-up skills. Demonstrated ability to manage multiple assignments, meet deadlines, coordinate multiple calendars and schedule a high-volume of internal and external meetings; work independently and follow through to resolve day-to-day administrative matters
- Ability to appropriately interact with all levels of management, including high-level official contacts and visitors
- Excellent judgment and discretion in handling sensitive data and confidential information
- Ability to effectively work in a virtual environment and provide back up support to the Group’s administrative support services team
- Ability to work with minimum supervision and guidance, excellent prioritization and organizational and skills
- Excellent at leveraging technology, including, proficiency in MS Office (Word, Excel, PowerPoint, Visio and Teams) and other Bank applications used by the Administrative Team, such as Workday and SharePoint
