Moby Telecommunications is excited to look for a talented and skilled Field Project Assistant to join our winning team and help us completely disrupt the current duopoly in Canada. Moby is providing independent fiber optic Internet | TV | Phone and related services in major Alberta urban centers. We design, deploy, and manage our own fiber optic infrastructure and are not a reseller of the incumbent telecoms and cable carriers. We are a legitimate other option for Canadians!

The Field Project Assistant will be responsible for assisting with document control, submittals, day-today activities, site surveys, site audits, project administration duties and helping to minimize the task or work done by Project Coordinator.

Primary Duties and Responsibilities:

  • Design and oversee the implementation of the project’s activities in the field.
  • Oversees the operation and execution of services at a work site.
  • Supervise the work of the sub-contractor; ensuring deliverables are received on time
  • Ensure needed equipment and materials are on hand to complete work on time and according to Program Coordinator expectations.
  • By interfacing with internal and external contacts such as Property Managers, Engineers, NOC, Field Technicians, and contractors, the Project Field Assistant ensures the smooth operation of field activities, including field safety and work quality.
  • The Project Field Assistant should split the time between the office and field locations, with most of the time spent in the field.
  • Assist with the preparation of project work plans, technical and monthly progress reports and any problem in the field and present them to the Project Coordinator.
  • Provides general support, guidance, and serves as focal point between the field and the office during project implementation.
  • Assist Project Coordinator and technical teams with the following:
  • o compiling information from engineers and other appropriate sources as requested.
  • o e-mail, correspondence, client communications, distribution of information to clients and peers.
  • o ensuring schedules are met for deadlines, documents, and meetings.
  • o new site opportunity set up and proposal preparation.
  • o editing, formatting, and proofing of all project documentation (reports, specifications, construction documents and contracts, spreadsheets, etc.).
  • o and updating appropriate Moby project tracking and CRM tools.
  • Receive, deliver, and track ISP drawings for specific projects.
  • Prepare reports using corporate standards and templates and contribute feedback for appropriate updates of these templates.
  • May attend project meetings and take minutes, as required.
  • May act as a client contact as appropriate.
  • Maintain organized project files in accordance with company’s Project File Structure.
  • Attend meetings and record and distribute minutes of meeting.
  • Create proper documentations and fill out appropriate standard templates and assist with As-Built Drawings at closeout.
  • Assist project team members by taking initiative to minimize and complete tasks and ensure accurate document control practices and procedures are followed.
  • Partner with the Project Coordinator, and Field Techs to minimize their need to do task work.
  • Ensure accurate and timely project administration including pricing change orders, tracking requests for information, site surveys, site audits, document management & control, and communication to all stakeholders.
  • Partner with project team members and other stakeholders to identify, develop, implement, and support cost-effective project delivery.
  • Maintain effective communications to ensure all stakeholders are informed and up to date.
  • Develop new relationships with clients, consultants, suppliers, and trades.
  • Enhance relationships with existing clients, consultants, suppliers, and trades.
  • Perform any other duties as requested by the line manager.

Requirements

  • Certificate in Business Administration or Construction Management is preferred.
  • Enjoys administrative work and has an interest in engineering or project management.
  • Understanding of Project Cost Accounting is preferred
  • Proficient in the use of office applications (MS Word, Excel, PowerPoint) and other web-based management systems
  • Strong organizational skills and ability to multi-task in a small business environment.
  • Excellent teamwork
  • Willingness to learn new technologies

Qualifications

  • Undergraduate degree or diploma in a relevant field an asset
  • Minimum of 3 years administrative or related experience.
  • Strong interpersonal and organizational skills.
  • Strong initiative and problem-solving skills
  • Highly organized and able to work in a dynamic atmosphere
  • Effective organizational and time management skills in handling multiple projects, performing a variety of tasks, and meeting required deadlines.
  • Able to take on new/additional roles and responsibilities on a pro-active basis.

Job Type: Full-time

Salary: $55,000.00-$65,000.00 per year
