Job Description:

The Grant Specialist position reports to the Director, Office of Sponsored Programs and works closely with Grant and Contract Administrators (GCAs) to provide pre-award activity support to faculty, students, administrators, and all members of the research and sponsored programs community at Binghamton University. Responsibilities include identifying and disseminating funding opportunities, coordinating and facilitating the preparation and submission of grant proposals (including detailed budget development), assisting with sub-award and post-award documents, monitoring of shared OSP email inbox, and other duties as assigned. The Grant Specialist serves as a liaison with sponsoring agencies, and must understand and operate within a framework of federal, state and sponsor regulations, as well as policies of Binghamton University and The Research Foundation for SUNY.

  • Grant Proposal and Budget Preparation – Assist with development, preparation, and submission (electronic or otherwise) of external funding proposals (including detailed budgets) by solicitation deadline. Comprehensively review and interpret grant program announcements and guidelines; review and assist in developing proposal documents and budgets; verify accuracy and compliance with applicable RF, SUNY, State, Federal, and sponsor requirements, and obtain necessary approvals prior to submission.
  • Use of Proposal System – Utilize internal and external electronic systems (e.g., PACS, RF Report Center, etc.) to maintain proposal records and facilitate data-based decision making; maintain working knowledge of Grants.gov and sponsor electronic submission and tracking systems.
  • Compliance Activities – Maintain working knowledge of compliance environment (e.g., IRB, IACUC, conflict of interest, export controls), technology transfer, and other regulatory requirements for sponsored programs. Advise GCAs, faculty, and project team of policies and procedures relevant to sponsored programs.
  • Search Funding Opportunities – Assist faculty and staff in their search for funding opportunities, using specialized databases and other search mechanisms. Monitor electronic services and databases to locate funding opportunities and disseminate to appropriate members of the University community.
  • Communication – liaison with GCAs, faculty, and project team and external institutions and sponsors to accurately interpret and relay project information over the proposal and grant lifecycle. Develop relationships with GCAs, faculty, and project team to facilitate efficient collaboration. Plan, manage, and/or assist with special events and activities as needed.
  • Other – Assist pre-award team as needed/assigned by Director and Assistant Director.

Requirements:

EDUCATION AND EXPERIENCE

  • Bachelor’s degree from an accredited four-year college or university and minimum one-year experience in an administrative role.
  • Proven analytical, critical thinking, and planning and organizing skills, with attention to detail and accuracy
  • Self-direction and motivation, with ability to prioritize responsibilities, manage multiple deadlines and take initiative, consulting with the appropriate parties as needed
  • Proficiency in the use of computers and business software with the ability to quickly learn new applications and systems
  • Ability to communicate effectively with representatives at all levels of the organization and outside partners, and to interact collegially within a diverse community while exhibiting tact and discretion

Additional Information:

Salary: $50,000 annually, 12-month position.
