To manage day-to-day company administration within the business in a reliable, accurate, and well-organized manner. The Office Manager will ensure that the office, other facilities, and staff are maintained and looked after to the highest standard to provide a first-class working environment, allowing our people, in turn, to deliver a first-class service to our clients.

Responsibilities

The list of responsibilities below gives a thorough overview of duties:

Manage Suppliers (quotes, contracts, renewals, and cancellations):

  • Company Vehicle Fleet & Insurance
  • Company Vehicle repairs
  • Mobile Phones
  • IT Equipment
  • Telecom system
  • Office Furniture
  • Office Maintenance (decoration/repairs)
  • Waste management & collection
  • Office food & refreshments stock (milk, fruit, tea, coffee, bar)
  • Office Stationery & Printer Supplies
  • Cleaners (office & windows)
  • Kitchen and bathroom supplies
  • Alarms
  • Water coolers
  • Parking

In addition, the Office Manager will be responsible for the following:

  • Implementation and enforcement of office policies
  • Ensuring facilities are fit for purpose and to the highest standard
  • Health and Safety Compliance
  • Fire Safety Regulations
  • Company equipment log
  • Company social events (Christmas/Summer party)
  • Charitable activities:
  • Organization and internal promotion of charity events
  • Liaise with the chosen charity regarding events and updates
  • Responsible for collection of funds raised
  • Company vehicle-related charges (parking fines, speeding fines, DART charges)
  • Management of petty cash
  • Door entry system and report, including management of staff fobs
  • Utility meter readings
  • Booking travel and accommodation
  • Book meeting rooms
  • Management of the Company Support Executive inc. cover of annual leave

From time to time, the role will also include assistant duties to Directors, completing critical and sensitive business tasks promptly and confidentially.
