WebCheckout is a scheduling and inventory management software used by over 200 institutions worldwide, primarily in higher education and media companies.

We are currently seeking an Operations and Sales Support Specialist to join our Customer Success Team. This fully remote position is responsible for negotiating and managing annual maintenance renewal contracts. This position also performs tasks related to Sales Operations, Contract Administration and Monthly Commissions Processing.

Contract Administration/Renewals

  • Constructs all proposed contract renewals and presents to clients with guidance from the Business Unit Leader.
  • Negotiates annual support maintenance price increases on behalf of the company.
  • Diligently works to minimize client attrition.
  • Promotes the sale of products and services as part of the renewal process.
  • Processes all client contract cancellation activities.
  • Assists with collections on maintenance renewals, as directed by the company’s Accounting Manager.
  • Tracks all client attrition activities and reports to Business Unit Leader.
  • Engages corporate legal as required for contract updates and revisions.

Sales Operations

  • Serves as the point of contact for customer inquiries related to service and maintenance contracts.
  • Coordinates with Sales and Customers Success teams to align revenue opportunities and influence budgets.
  • Reviews incoming sales orders for accuracy, completeness, and compliance with company policies.
  • Ensures compliance with the company’s signing authority matrix.
  • Works with sales executives to correct/update sales orders as needed.
  • Facilitates customer license agreements.
  • Ensures the CRM (Salesforce) is up to date and accurate, per corporate standards.
  • Updates the company’s product pricing catalog in support of new products and current product refinements.
  • Fosters open communication with internal departments to ensure overall business growth potential.
  • Maintains a contracts repository for the company.
  • Develops and maintains strong working relationships with external clients.
  • Documents and maintains departmental processes and procedures as applicable.

Commissions Reporting Tracking

  • Provides monthly reporting on the company’s commissions program to the Finance and Accounting Manager.
  • Performs ad hoc reporting and analysis as requested.

Education and Experience

  • BS Degree in Business Administration or related field
  • At least 1-2 years of related work experience.
  • At least 1-2 years of prior customer service experience.
  • Work experience in the software-as-a-service, IT service, or Telecom industry preferred.

Job Type: Full-time

Pay: $50,000.00 – $60,000.00 per year
