Reporting to the Planning & Operations Manager and serving as an integral member of the Mobile Klinik Planning and
Operations team, the Planning and Operations Coordinator will be key in overseeing employee systems access creation and removal, along with supporting ongoing initiatives and partnerships. You will work closely with the Planning &
Operations team and will also liaise with various other departments across the organization to support the coordination of administrative efforts including Retail Operations, Human Resources, Training/Field Support, and Accounting/Finance.
The Planning & Operations Coordinator will be responsible for owning employee systems access creation and termination in collaboration with Human Resources and Regional Managers. You will assist in finalizing, translating, and distributing operations communications for store front lines. You will also provide extensive support surrounding store inquiries, new store openings, and meeting bookings amongst other tasks. This is an outstanding opportunity for a new graduate with coordination and administration experience or education.

RESPONSIBILITIES

  • Own and deliver on employee account creation and removal across various Mobile Klinik & partner systems and platforms
  • Administrative support for new store openings, including updating location listings and sharing store opening announcements
  • Maintain and update various master location listings and information files
  • Assist in revising and distributing operations communications to store front lines
  • Utilize French translation software to ensure communications are available in both French and English
  • Fielding escalations from partners and stores and coordinating with field support trainers or regional managers on resolution
  • Assist in delivering ad-hoc invoicing for select Mobile Klinik partners as required
  • Develop & update various PowerPoint or other communication documentation
  • Organizing and coordinating various meetings / bookings
  • Support the Planning & Operations team in implementation of new and existing business opportunities and partnerships
  • Run various ad-hoc sales operations / compliance reporting as needed

CHARACTERISTICS AND COMPETENCIES

  • Excellent written and verbal communication skills and relevant experience
  • Strong organization skills with the ability to prioritize and execute tasks in a fast-paced and rapidly changing work environment
  • Strong planning and coordination skills and experience
  • Experience in / existing knowledge of key business concepts
  • Ability to wear multiple hats and assist the team as required
  • Experience in Microsoft Office (Excel, Word, PPT), Outlook and similar platforms

EDUCATION & EXPERIENCE

  • Bachelor’s degree or diploma in Human Resources, Communication, Business, or other equivalent experience is an asset
  • 2+ years of experience in an office administration / coordination role
  • Prior experience in Telecommunications would be considered an asset

Job Types: Full-time, Permanent

Salary: Up to $50,000.00 per year
