Purpose of the Job
As the Project Assistant of the Project Management team, you will ensure a range of communications
with Project Management and external stakeholders. You will be involved in facilitating positive working
relationships in the delivery of important administrative tasks and services.
A good knowledge of railway environment and project organization will help you to successfully fulfil
your responsibilities.

The VS project team, including E-Locos team in Europe and Modifications team in North-America

Responsibilities
Works autonomously in coordinating, managing and prioritizing the day-to-day Administrative activities for the Project Director and the project team such as:
- Complex travel arrangements and itineraries for project management team members and visiting VIP guests and groups.
- Letter of Invitation for incoming staff (if any)
- Receiving & archiving incoming post mails
- Formatting & printing outgoing mails
- Managing office allocations / project directory / project organization chart updates
- Book meeting rooms
- Check and validate incoming invoices related to office purchase
- Purchase Requests for office stationaries
- serve as the primary point of contact for the Project Director and his core team members, take action as appropriate, summarize, prepare background documents and responses as necessary.
- draft and/or prepare a full range of materials such as emails, memorandums, reports, presentations
- support preparation of presentations on request from Project Director and support project event preparation
- manage and keep up-to-date project documentation in the VS Sharepoint
- facilitate visits for project participants coming temporarily in Toronto
Educational Requirements
Baccalaureate degree is the minimum required.
Desired Knowledge / Experience
Knowledgeable in all standard office tools (Excel, word, mpp, ppt, outlook, SharePoint, ….)
English is mandatory. French is desireable.
