What we expect

Job Description

The Project Coordinator reports to the Operations Supervisor. This position provides support to multiple Project Managers, in addition to supporting a variety of office administrative functions.

Specifically, you would be responsible for performing the following tasks to the highest standards:

  • Creating job folders, electronically and hard copy
  • Maintaining quotes and purchase orders in Project Management computer system (Viewpoint)
  • Documenting customer deliverables: slack data, daily updates, fiber usage reports, redlines/as-builds
  • Performing billing functions, including tracking billing statuses, tracking pending purchase orders, completing time & material and unit billing
  • Permitting, as needed
  • Overseeing daily Timecard management to include verifying employee time punches to the schedule/GPS and ensuring proper job coding
  • Performing office administrative duties to include but not limited to opening mail, routing Accounts Payable invoices, stocking office supplies and calling in support for printers/scanners/computers as needed
  • Monitoring and tracking vehicle maintenance
  • Monthly reporting of American Express expenses
  • Accepting deliveries, collecting and routing package slips

SKILLS:

  • Effective internal and external communications skills, attention to detail and high level of accuracy in their work
  • Ability to work in a fast-paced environment, balancing the support to multiple Project Managers
  • Exceptional organization, prioritization, and time management skills
  • Ability to meet productivity standards and complete work within established deadlines

REQUIREMENTS:

  • Associates Degree in business or related field, preferred but not required
  • 1-3 years Operations Administrative support, Utility/Telecommunications experience, preferred but not required
  • Ability to exercise mature judgment and suggest the appropriate action when working with employees, management, or customers
  • Ability to utilize with proficiency – Outlook email, Microsoft Word, Excel, and Adobe Acrobat
  • Ability to carry out duties otherwise assigned by management
