The Project Coordinator (PC) is responsible for directing and organizing project activities within a specific geographic area or specific scope of work under the direction of an Operations Manager or Finance Program Manager. The PC creates Purchase Orders and Sales Orders, maintains document control, manages databases, and coordinates project administration and communication.
FSLA Status: Non-Exempt
Primary responsibilities:
· Assist the Project Manager or Program Manager in the drafting and issuance of project proposals, budgets, cash flows, and preliminary schedules.
· Track receipt and expiration of all client purchase orders.
· Responsible for reporting outstanding client purchase orders to the Program Manager or Project Manager.
· Maintain vendor files and documentation thoroughly and accurately, in accordance with company policy and accepted practices.
· Document and maintain billing procedures for each client.
· Research and correct Accounts Receivable (A/R) discrepancies.
· Ensure accurate and timely data entry for preparing status reports; maintain documents and data that can be pulled for project closeout files.
· Track and manage contemplated change notices and change orders in the database.
· Keep the Project Manager or Program Manager and other team members informed about project status and issues that may impact client relations.
· Communicate ideas for improving company processes and contribute to Smartlink’s body of knowledge on process design, modeling, execution, monitoring, and optimization.
· Maintain professional, ethical, and company standards at all times.
Job Requirements:
· Demonstrated skills in database management and record keeping.
· Proficient at MS Office, especially Excel.
· Problem solving ability, analytical and numeracy skills.
· Effective time management, organizational, and prioritization skills.
· Strong written and verbal communication.
· Strong demonstrated ability to prioritize, a commitment to tight deadlines, and problem resolution skills.
· Excellent judgment and decision-making skills.
· Experience with SAP Business One is a plus.
· Evidence of the practice of a high level of confidentiality.
· Ability to adapt to a changing environment.
Education and Experience:
· The ideal candidate will have an interest in telecommunications and construction.
· The ideal candidate will have Associate’s degree (AA) or equivalent from two-year College or technical school; or 1-2 years in a highly aggressive technical field preferred; or equivalent combination of education and experience.

· No travel (0%) is expected in association with performing this position.
