Victor Energy Ltd. is a utility contractor with over 20 years’ experience building Alberta’s electrical infrastructure, recently acquired by Java Holdings Ltd. Java staff have over 50 years of experience building some of Canada’s largest electrical infrastructure projects. We are seeking a Project Coordinator to provide administration support to our project execution team.
As a Project Coordinator, you will maintain project systems and procedures including master filing system, project billings, cost accounting, project delivery status and reporting. Utilizing your administrative and customer service skills, you will provide technical and administrative support, including assisting project managers with scheduling, reporting and compliance. You have a thorough knowledge of safety, quality, and scheduling of multiple projects. This is a full-time opportunity based on a 40 hour, 5 day work week, adjusted to meet project demands over weekends. This position is office-based in Nisku, Alberta.
Your responsibilities include:
- Monitoring project progress and creating project status reports for project managers and stakeholders.
- Tracking project milestones ensuring deliverables are completed and meet project requirements.
- Assisting with resource scheduling.
- Scheduling meetings and facilitating communication between the project manager and stakeholders throughout the project life cycle.
- Managing project-related inquiries or escalations and provides appropriate responses in a timely manner.
- Managing project documents such as the project plan, budget, schedule or scope statement, as directed by the project manager.
- Executing a variety of project management administrative tasks such as purchase order set up and receiving.
- Supporting team members when implementing risk management strategies.
- Use of approved systems in alignment with company expectations.
- Promoting a culture of health, safety, and environmental protection on the project.
- Performing general administrative and recordkeeping functions to ensure project specific quality management information is readily available including the completion of required quality documentation.
- Assisting with gathering project requirements from various internal teams.
Education, Skills & Qualifications
- Undergraduate degree or certification in business administration, project management, or a related field
- 2 to 4 years’ experience in a fast paced administrative or coordinator role
- Telecommunication experience with fibre optic construction experience (both aerial and underground) is an asset
- Excellent interpersonal and communication skills and are confident interacting with key contacts at all levels in verbal, written and electronic form
- Exceptional eye for detail and organizational skills in a dynamic, multi-tasking environment
- Proficiency with Microsoft Office
- Working knowledge of project management software
- Proven ability to understand construction administration and contract commercial terms
- Analytical skills and a logical problem solver
- Ability to maintain a high level of confidentiality and professionalism
