POSITION TITLE: Sales Event Coordinator

REPORTS TO: General Manager

POSITION SUMMARY: To act as a sales coordinator in the corporate, association and/or SMERF markets as assigned. To solicit and book conference business from groups requiring 10 or more lodging units per night.

TASKS:

1. Access clients needs and negotiate according to resort group budgetary goals and procedures.

2. Make required prospecting calls daily on pre-existing accounts and leads using ingenuity and creativity in increasing The Resort’s potential for group sales business.

3. Follow up on all inquiries within one business day.

4. Process all proposals and contracts within two business days.

5. Timely follow-up on traces on accounts and bookings.

6. Process necessary paperwork to each department when booking arrangements, having the Sales Coordinator assist as necessary.

7. Maintain contact with clients, Sales Manager, Catering Managers and other departments to successfully accommodate groups’ needs

8. Responsible for proposals, contracts, and miscellaneous correspondence.

9. Make in-person sales calls within own market segment one-two days per week. These will occasionally include out of town calls.

10. Conduct site tours regularly, with a goal of a minimum of two weekly.

11. Follow-up as to success of meetings and conferences and re-solicit for repeat business.

12. Attend and be active in professional associations as assigned. Report at the weekly sales meeting the results and content of meetings attended.

13. Attend weekly sales meeting. Attend pre-conference meetings for own bookings.

14. Prepare for and exhibit at trade shows as assigned.

15. Work as a team member in the sales and catering department, as well as with the entire Resort staff. Assist others as necessary.

16. Assist in the preparation of direct mail pieces for individual market segment.

17. Prepare for and work at trade shows as directed. Follow up of leads in a prompt manner.

18. Knowledge of competition.

19. Other duties as assigned.

PREREQUISITES:

EDUCATION: High school diploma or equivalency. Minimum of 2 years of college preferred.

EXPERIENCE: Two years of previous hotel or resort sales and/or catering experience required.

PHYSICAL: Reasonable mobility to perform property tours covering distances up to 3 miles. Willingness and ability to travel to include sales calls and trade shows. Valid driver’s license and knowledge of territory required. Must be able to lift, carry or transport boxes of collateral material and trade show booths weighing up to 25 lbs. Lifting, bending and kneeling required in setting up and breaking down trade show booth.

VISION – Ability to distinguish between and among colors. Ability to exercise depth of perception to determine space and distance relationships. Ability to exercise peripheral vision to be aware of objects within a large area while eyes are focused on one object.

HEARING – Ability to hear in one or both ears so that verbal communication can be received, understood and acted upon in either a face to face or a telecommunications basis. Corrective devices are permissible.

SPEAKING – Ability to express oneself verbally with clarity on either a face to face or a telecommunication basis.

Job Types: Full-time, Contract, Temporary

Pay: From $40,000.00 per year
