POSITION PURPOSE

To assist with the support of critical DD&T operational functions required by Cologne Regional Office, Aesop Retail and other European office locations. To keep software up to date and to ensure Aesop software standards are maintained. To take a proactive role in the development of existing systems and new retail developments at both Cologne Regional Office and Aesop Retail stores. To materially contribute to administrative efficiencies and the implementation of new processes as required. To provide additional assistance to the Service Desk Team Leader as required. To ensure assistance and interaction with Aesop staff is friendly and professional.

Main Responsibilities

User Support

  • Deliver friendly, courteous, patient, timely and outstanding service to all Aesop staff.
  • Requires fluent German language to support the Cologne regional office, telecoms suppliers and Aesop Retail stores in Germany, Austria and Switzerland.
  • Requires a high proficiency in English (verbal and written) to support Aseop staff and retail stores in the London Regional Head Office and other markets across Europe.
  • Maintain status records of support tasks undertaken via centralised helpdesk system.
  • Support roster requires regular working on Saturday or Sunday and flexibility with early or late start to cover service desk support hours. Flexible working available within an agreed support roster managed by the Service Desk Team Leader covering essential on-site support at the Cologne Regional Office and work from home. Applications considered for those wanting 3-day or 4-day weeks.
  • On occasion be available to accept and action requests made via email or mobile outside of normal business hours.
  • Assist the Service Desk Team Leader and other DD&T team members to –
  • Provide DD&T support for all staff at Cologne Regional Office, retail locations, regional offices and overseas subsidiary locations.
  • Troubleshoot user issues & problems
  • Coordinate retail support from established external vendors where Aesop resources are inadequate.
  • Procure and install systems and equipment for new staff and at new retail locations.
  • Ensure the security and integrity of Cologne Regional Office and retail DD&T systems and data.
  • Maintain building access and security processes for staff
  • Adhere to DD&T standards, procedures and governance
  • Monitor and enforce DD&T security and access policies within the organisation
  • Facilitate strong communication between Cologne Regional Office and retail locations establishing relationships with key retail staff.
  • Work on-site at Aesop Retail store locations as required in Germany and Europe and require overnight stays to support Retail store or office projects and openings.
  • Log in remotely to distributed locations to perform support duties

Staff Training

  • Assist the Service Desk Team Leader to develop DD&T skills within the team.
  • Liaise with retail management to coordinate and perform retail staff training.
  • Participate in relevant retail meetings to understand staff requirements, concerns and issues as well as to report to retail staff on relevant DD&T developments.
  • Proactively understand and implement on-going training requirements of head office and retail staff.

Computer Hardware and Software and Communications Equipment Procurement, Installation, Maintenance

  • Assist the Service Desk Team Leader to –
  • Perform installation of hardware and software for new and existing computers and other DD&T equipment
  • Research, test and evaluate industry trends and new software.
  • Perform upgrades and necessary configuration changes as directed
  • Liaise with established DD&T vendors as necessary during day-to-day tasks.
  • Monitor performance of existing systems and equipment and recommend improvements
  • Monitor and perform necessary backup and disaster recovery procedures to ensure business continuity
  • Ensure the DD&T Hardware and Software Asset Registers are up to date

Reporting & Documentation

  • Maintain a detailed support log and provide it to Service Desk Team Leader on a monthly basis for review.
  • Assist in the preparation and development of reports for key business functions particularly retail reports and time reporting.
  • Ensure DD&T documentation and procedures are maintained and kept relevant and up to date
  • Maintain and contribute to the DD&T knowledge base
