POSITION SUMMARY

The Project Administrator – operational excellence provides project management assistance to fellow Project Management team members for planning, scheduling, and executing project activities. In this support role, the Project Coordinator (PC) executes tactical project activities on behalf of the Project Manager (PM), reporting the status of those and escalating exception conditions as needed to the PM. The PA may update project documentation including schedules, issues lists and project updates as well as communicate both verbally and in writing with internal and external personnel involved in the project.

TYPICAL JOB FUNCTIONS:

  • Order and inventory Management. Validating the necessary orders have been placed, tracking lead time/shipment and receipt. Tracking of individual shipments of equipment to stores and validation of receipt
  • On site vendor confirmations for time critical on-site services
  • Reporting of assets installed and removed by the project at a serial number level
  • Invoice review to identify invoices that match the expected invoice amount and escalation of those that don’t
  • Issues resolution assistance, including hardware and vendor coordination that may be required
  • Equipment destruction tracking and maintenance of proof of destruction documents
  • Creation of SmartSheets and related documentation for those
  • Other administrative activities as defined by management
  • Specific projects:
  • VOIP project (NA stores) – call stores and test the call forwarding
  • Phones to Teams (NA offices) – coordination with team members/customers to get phone needs recorded
  • WAN refresh (NA stores) – inventory tracking, ticket tracking, invoice verification, store deploy follow-up
  • Cable Hygiene (NA stores) – invoice verification, store deployment follow-up
  • Broadband for Mashgin/v-store (NA stores) – follow up on network needs for stores with network team
REQUIREMENTS:

  • Team player with excellent people skills
  • Strong verbal and written communications skills, effectively able to manage and resolve conflicts
  • Extremely detailed oriented
  • Ability to work independently and manage multiple activities while maintaining attention to detail
  • Excellent organizational skills, process oriented, able and willing to promote new ideas and processes
  • Fluent in Microsoft Office products
  • Proven Microsoft Excel skills:
  • 5 years experience as an advance Excel user
  • Data Consolidation – ability to merge data from more than one dataset together using an Excel formula
  • Data Manipulation – ability to extract specific data from cells or append data to cells using an Excel formula
  • Data Comparison – ability to identify duplicated or missing data from multiple datasets using an Excel formula
  • Data Summarization – ability to summarize data using pivot tables
  • Ability to manage extremely large spreadsheets with thousands of data points without data corruption
  • Experience managing equipment logistics at hundreds of remote locations
  • Smartsheet experience a plus
  • Experience working at a retail corporate office is a plus
  • Experience working in a team-oriented, collaborative environment.
