WHAT YOU’LL DO

Under the general supervision of the Telecom Operations Manager, the Telecom Coordinator will partner with other team members to ensure the department works effectively. As the successful candidate who wins this role, you will spend approximately 30% of your time on operations coordination, 25% on warehouse assistance and coordination, 25% on administrative duties, and 20% on special projects and other duties as assigned. You will use a computer, phone, copy/fax machine daily – and a company vehicle, forklift, and bucket truck as needed.

As Telecom Coordinator, you will complete daily coordination duties for the Telecom Warehouse and the Telecom Operations department. You will also provide administrative and warehouse support to remove obstacles for Technicians. In addition, you have responsibility for tasks associated with the McCarty Warehouse, Network Engineering Cage inventory, and ordering materials for Telecom and Network Engineering.

In this role, you will gain extra experience when assigned special projects, including writing and preparing reports for the Telecom Operations Manager and creating forms that will increase efficiency within the department. You will coordinate job-shadowing visits for special guests and schedule meetings for Telecom Operations staff. It is impossible to list all the exciting aspects of this position. Responsibilities

  • Operations coordination (30%)

    • Assisting by responding to interdepartmental questions
    • Monitoring Telecom-related workflow steps for service orders and trouble tickets
    • Transporting materials
    • Generating documents and reports
  • Warehouse assistance and coordination (25%)

    • Assisting daily with warehouse operations
    • Preparing inventory in advance for Technicians
    • Completing ad hoc sheet entries and inventory adjustments
    • Evaluating inventory reports to forecast upcoming inventory needs
    • Using a forklift to assist with unloading shipments and/or moving items around
  • Administrative duties (25%)

    • Preparing, processing, and scanning paperwork from Technicians
    • Liaison between Telecom and the Accounting department
    • Creating drop permits
    • Creating MR orders
    • Managing staff uniforms
    • Working alongside Business Analysts to implement streamlined procedures in Telecom
    • Managing other administrative tasks to aid Technicians
  • Special projects and other duties as assigned (20%)

Typical Working Conditions

  • Approximately 50% of the time, work is completed indoors in a moderate noise, climate-controlled office environment (office or similar) and 50% of the time indoors in a non-temperature-controlled environment (garage, warehouse, shed, or similar)
  • On occasion, outdoors exposed to changing weather conditions, outdoors in an enclosed vehicle or temporary shelter, and working above ground where the possibility of falling exists (ladder, roof-top, bucket truck, scaffolding, or similar)
  • Typically works 40 hours per week; may work overtime, evenings, or weekends as needed to meet critical deadlines or respond to problems

Physical Demands

  • Continuous talking, hearing, and close distance, color, and depth vision
  • Need good hand dexterity, sitting, walking, and lifting up to 45 pounds
  • Sometimes standing, bending, squatting, climbing, kneeling, twisting, reaching at/below and above shoulder level, and lifting over 45 pounds

WHAT YOU NEED

  • High school diploma or equivalent
  • 3+ years of experience in an Administrative or Customer Service role
  • Ability to obtain a medical card within first your six (6) months, to drive or move a bucket truck
  • Good computer skills, including proficiency with Microsoft Office Suite
  • Ability to learn complex business/operations support and workforce management software
  • Ability to follow written policies, procedures, and guidelines
  • Excellent written and verbal communication skills
  • Strong organization, scheduling, and prioritizing skills
  • Develop and suggest creative and innovative solutions
  • Work effectively with customers, vendors, team members, and all levels of management
  • Demonstrate sound judgment when handling sensitive department communications and activities
  • Able to work independently of supervision
  • Good project management skills; ability to work to deadlines
  • Methodical and analytical approach; attention to detail
  • Valid driver’s license and safe driving record
  • Expected to learn within 1-3 months – creating purchase orders, work orders, and requisitions; printing and editing MR orders; charging material inventory; adjusting, transferring, and receiving material inventory; running reports in ABS; understanding and fulfilling item requests; shipping items via Pitney Bowes’ running material inventory captures/counts; and material reconciliation
