POSITION SUMMARY:

The Transportation and Fleet Manager is responsible for providing supervision of the Transportation Department, through effective management, open communication, training, cost effectiveness, and customer services. This TEAMember embraces all components of the job, fostering an environment that allows Tabitha to provide optimum care to Tabitha’s Seniors/residents/clients (hereinafter, “Seniors/clients). ESSENTIAL FUNCTIONS:

  • Oversees the day-to-day operations of the Transportation department.
  • Schedules transportation drivers to effectively cover routes.
  • Manages the Tabitha vehicle fleet maintenance schedule, including washing, and interior cleaning schedules.
  • Provides input and monitors monthly and annual budgets for the Transportation department.
  • Approves and authorizes vacation schedules and coordinates back-up drivers.
  • Approves and manages team time cards
  • Assist the assistant director with all fleet cars.
  • Manages the use of the corporate vehicles by keeping it actively and effectively being used
  • Coordinates with other departments to utilize staff during slow times
  • Maintain books required for State 5310 grant vehicles
  • Ensure the grant vehicles are maintained to the states guidelines following proper documentation
  • Oversee 5310 vehicles state audits
  • Ensure all staff meet all Federal and HHS guidelines
  • Provide recommendations on future vehicle specifications
  • Prepare budgets and assist with cost analyst
  • Represent Tabitha at public events
  • Trains new transportation drivers on vehicle operations and safety.
  • Evaluates daily transportation vehicle capacity to effectively cover changes in the day-to-day schedule.
  • Enhances the living experience for Seniors/clients by proactively developing cordial relationships and interacting pleasantly/appropriately at all times.
  • Uses strength, dexterity, and agility to safely assist Seniors/clients into and out of vehicles and buildings. Secures Seniors/clients wheelchairs/walkers and other possessions to stabilize them during trips.
  • Uses all senses and abilities to safely drive Tabitha vehicles while transporting Seniors/clients. Maintains constant awareness of surroundings and conditions, demonstrating exemplary driving skills.
  • Uses strength, dexterity, and agility to make deliveries, deposits and pickups as assigned. Items to be delivered or picked up could include furniture, equipment, fragile/breakable materials, chemicals, hazardous chemicals, and other items that are bulky, heavy, cumbersome, awkward, sharp, and otherwise difficult to transport.
  • Willingly and consistently coordinates with the telecommunications operator in following the established van schedule. Collaborates effectively with managers/supervisors/TEAMembers in covering for time off arrangements, responding to coverage needs when TEAMembers are unable to work, communicates effectively when multiple conflicting needs must be met.
  • Provides on-call support for job-related activities and emergencies after regular scheduled hours.
  • Uses strength, dexterity, and agility to perform routine maintenance and cleaning on Tabitha vehicle(s). TEAMember is responsible for doing this both on a scheduled basis (as set on the schedule) and/or on as needed basis. Takes pride in keeping the vehicle in excellent condition so that it represents Tabitha well.
  • Acts as a representative of Tabitha at all times, demonstrating professionalism in dress and appearance, courtesy, poise, attitude, interactions.
  • Behaves as a leader, fostering staff satisfaction through effective and consistent leadership. Establishes good relationships with staff, listens to staff concerns, takes appropriate action, communicates expectations, holds employees accountable, and manages consistently, identifying and removing barriers to employee success. Contributes to the success of Tabitha employees by coaching, developing, encouraging, nurturing, mentoring, challenging, and setting an example for direct reports. This will include working with employees on correcting performance deficiencies, policy violations, or any other area of concern, and working with the Talent and Culture department to make the decision to terminate employees when such corrective action is not successful.
  • Assists with recruitment by interviewing job applicants, making hiring recommendations and takes steps to control preventable staff turnover related to supervisory responsibilities.
  • Follows Tabitha protocol for submission of completed documentation as it pertains to employee time records, performance evaluation, performance improvement, interview notes, attendance records etc. with particular attention to accuracy and timeliness.
  • Assures reports of broken and malfunctioning equipment are made in a timely manner. Assures direct reports do so as well.
  • Follows disaster plans and uses strength and agility during participation in preparedness drills and actual emergencies. Maintains a safe work environment. Assures direct reports do so as well.
  • Complies with HIPAA regulations regarding privacy by insuring that Protected Health Information (PHI) is safeguarded at all times. In addition, maintains a high level of confidentiality regarding any matter pertaining to any Tabitha Seniors/clients, as well as Tabitha TEAMembers. Assures direct reports do so as well.
  • Completes required training and in-services promptly. Demonstrates understanding of the course content and implements training in daily activities. Assures direct reports do so as well.
  • Makes good decisions that contribute to the success of the department.
  • Performs work duties within the assigned work environment related to the position, as assigned by Tabitha, regardless of employee preference.
  • Participates in meetings and in-services on both department and company levels. Assures direct reports do so as well.
  • Maintains a good record of attendance and punctuality as defined by Tabitha’s policy pertaining to attendance and punctuality. Records all time worked accurately and consistently using the timekeeping method provided by Tabitha. Assures direct reports do so as well.
  • Complies with Tabitha policies and procedures as published by Tabitha and which be modified at Tabitha’s discretion. Contributes to quality assurance and performance improvement activities by identifying instances of non-compliance and taking appropriate action, including reporting violations of Tabitha policy or regulations as appropriate. Assures direct reports do so as well.
  • Acts with integrity and in the best interest of Tabitha. Business relationships are conducted in the best interest of Tabitha, free of gifts, cash inducements, gratuities, favors, or other perceived improper inducements.

Qualifications:

COMMUNICATION: Must be able to speak, read, write, and understand the English language as well as terminology and jargon specific to the job. Sufficient fluency to be able to understand and follow written and verbal instructions, provide instructions to others, read and understand policies, procedures or other similar documentation, interact successfully with Seniors/clients/caregivers, hold a conversation, conduct or participate in meetings, compose professional e-mails or other written communication, prepare legible, accurate and thorough documentation as required by the job and effectively interact with TEAMembers, customers, vendors, volunteers, managers and family members. Ability utilize and interpret GPS and weather technology applications. Ability to recognize and interpret non-verbal cues. Ability to respond calmly and clearly to emergencies and emotional situations.

WORKSITE CONDITIONS
: Works in various settings, primarily working in vehicles that are provided and maintained by Tabitha. Also works indoors in a facility maintained by Tabitha that will typically be in good repair, clean, well ventilated and well lit. Frequent exposure to heat, steam, sharp objects and tools, heavy objects, wet or slippery floors, extremes of temperature and weather, normal driving conditions, winter driving conditions, icy surfaces when driving and/or walking/loading, unloading, loud and/or continual noise. Occasional exposure to blood or body fluids including urine and feces. Works under daily and hourly deadlines, requiring uninterrupted periods of intense activity. Frequent exposure to Seniors/clients, including exposure to Seniors/clients who are experiencing extremes of emotion. Works beyond normal scheduled hours and on weekends and holidays when assigned. Is subject to extended hours, evening work shift availability or callback during emergency conditions or based upon needs of the organization.

PHYSICAL REQUIREMENTS
: Ability to gain access to the work area and then safely perform the duties of the job while utilizing standard and specialized equipment, including but not limited to the equipment described below. Ability to move about the work area. Vision and hearing within normal limits (with or without correction) Must have unrestricted lift/push/pull ability and pass a 50 – pound physical exam demonstrating strength and agility prior to employment and from time to time thereafter at Tabitha’s discretion.

EQUIPMENT USAGE: Standard and specialized equipment including computer, photocopier, vehicles of various types and sizes, cell phone, and Bluetooth.

AGE REQUIREMENT: At least age 18.


EDUCATION:
High School Diploma or equivalent, required.

EXPERIENCE: Experience in driving vans or delivery vehicles preferred. Experience working with elderly/disable people preferred. Supervisory experience strongly preferred.

CREDENTIALS: Valid Nebraska Driver’s license (unless otherwise allowed by law) and a good driving record required. Must possess auto insurance at or above Nebraska statutory requirements. CNA License Required. CPR required. First Aid required. All certifications must be kept up to date at the expense of the employee. Must meet Tabitha’s vaccination requirements
