POSITION SUMMARY:

Under limited supervision, responsible for providing administrative coordination support over multiple jobs in assigned region. Preferred background in the telecom/cable or construction industry. Must have background in construction project management.

Preparing job packets and closeout documents, professional email and verbal communications with Customers and field staff on job statuses, scheduling, monitoring quoted versus actual job performance, distributing various documents as needed, identify trends to eliminate potential patterns of recurrence which might significantly affect job profitability. Reports directly to Corporate Office.

ESSENTIAL DUTIES and RESPONSIBILITIES:

  • Participate in new job kickoffs with Regional Services Manager and Engineering.
  • Processes all orders in assigned area.
  • Main point of contact for assigned Regional Services Manager for clerical support, including daily reporting of job performance, verifying via FSO that all materials are on order for assigned jobs, and working with other internal departments to make sure jobs are completed on-time and on budget.
  • Responsible for sending out Weekly Customer Job Updates for every open job in assigned region every Friday.
  • Maintains accurate (live) crew schedule as directed by assigned Regional Services Manager and keep crews up to date (sometimes daily) on any changes. Project Coordinator to distribute crew schedule every Thursday.
  • Responsible for accurate and timely completion of job Closeout Packages. Works with Lead to prepare and collect final job signoff and Close Out job packets for invoicing
  • Supports Regional Services Manager as backup POC between field management, Corporate and Customer for open jobs.
  • Must have solid construction or mechanical aptitude to understand each job scope.
  • Knowledge and understanding of project monitoring, reporting systems, and logistics.
  • Must have strong detail oriented and multi-tasking capabilities and work well under chaos and pressure.
  • Works with RSM and/or Lead to make sure Daily Job Statuses are submitted and review for any issues, abnormalities, or additional material so not to stop a job. Also verify against crew schedule as Payroll will use this to verify against submitted timesheets.
  • Submits all MOPs, completed in coordination with Lead, Supervisor or Engineer, obtain approval, and deliver to Lead for preparation of hot work schedule.
  • Strong project coordination and organizational skills.
  • Requires excellent verbal, written communication skills & customer relation skills.
  • Must be able to provide high level of quality customer service to perform as the company’s professional liaison during job.
  • Ability to work independently and resourceful with good initiatives.
  • Strong knowledge of general computer hardware & software applications, especially all Microsoft products including Sharepoint, excel, and Word.
  • Position is to be in the office full-time, with travel to various job sites, as needed.

SKILL, EDUCATION, EXPERIENCE, TRAITS REQUIRED:

EDUCATION

  • Project management experience preferred
  • Strong in Excel and Word, and Quickbooks
  • Strong administrative skills

EXPERIENCE

  • Minimum 3 years Project coordination experience

Job Type: Full-time

Pay: $60,000.00 – $85,000.00 per year
